**Location**:

- This role is in-person at the Royal Alexandra Hospital, Lois Hole Hospital for Women.

Reporting to the Academic Department Manager (ADM) in Obstetrics and Gynecology, the Department Administrator will provide a wide range of administrative supports to the Academic Department Manager, Department Chair, faculty, staff and students of the department.

The Department Administrator supports the operations of the department based on the understanding of the administrative and academic leadership’s needs. This position will play a key role in ensuring the day-to-day work of the department is directed to the right people and systems as well, working collaboratively with internal and external stakeholders.

The Faculty of Medicine & Dentistry is one of the world’s top academic health science centres. Communications:

- Drafts and/or generates routine communications based on straightforward information for supervisor review

Operations:

- Creates and maintains spreadsheets and/or databases
- Prepares standard and ad-hoc reports for the area. Designs and develops customized reports for specific needs
- Provides various monthly or quarterly operational reports, as required by the ADM
Process Coordination/Initiation:

- Initiates purchase requisitions, purchase orders and invoices through SupplyNet. Initiates vendor payments
- Reviews individual transactions, financial statements, supporting documentation for accuracy, compliance to policy and appropriate authorizations
- Provides guidance and assists users with the initiation of routine financial transactions. Escalates issues to the Staff Service Centre or assigned Finance Partner
- Identifies, troubleshoots and resolves transactional issues. Corrects errors. Escalates broader, more complex issues

- Diploma in Business Administration or Management
- 2-3 years of progressive experience in a university setting preferred, knowledge of the University of Alberta policies and procedures an asset
- Excellent computer skills including proficiency in use of database, spreadsheet and word processing software
- Demonstrated proficiency with PeopleSoft (finance, campus solutions and HCM), SupplyNET, Microsoft Office, and Google Applications preferred
- Demonstrated ability to develop and maintain positive, professional, collaborative working relationships with stakeholders at all organizational levels
- Demonstrated communications skills with all stakeholders from a variety of cultural backgrounds
- Demonstrated ability to work independently and collaboratively
- Demonstrated ability to manage time and workload effectively and meet deadlines
- Demonstrated knowledge of the University of Alberta policies and procedures and medical education residency programs are considered an asset
- Demonstrated ability to work with a large unionized public sector and/or post secondary academic organizations
