Operations Coordinator

**Responsibilities**
Executive Assistant (50%)
- Act as a trusted partner to the CEO and executive leadership team, managing an array of administrative tasks and facilitating smooth communication.
- Track incoming requests and create a list of daily priorities based on urgency, importance, and deadlines. Follow-up to ensure any delays are communicated to the appropriate parties.
- Coordinate and manage the CEO's calendar, scheduling sales calls, appointments and meetings.
- Triage the CEO's inbox and respond to requests on his behalf.
- Prepare and edit documents, presentations, and reports, ensuring accuracy and adherence to company standards.
- Assist in the preparation of meeting agendas, materials, and minutes, ensuring follow-up on action items.
- Handle sensitive and confidential information with discretion and professionalism.
Client Services (25%)
- Review customer usage of various technologies and flag overages to finance and Client Experience Lead for additional billing.
- Prep and send Rules of Engagement, Operational Agreements, and Authorization to Operate documents using e-signature.
- Prep monthly customer review decks.
- Coordinate staff and client calendars to book one-time and recurring client calls, as requested.
Operations Support (25%)
- Prepare and send documents for e-signature (offer letters, contracts, MNDAs, etc).
- Initiate and follow-up on staff background checks.
- Administer the employee benefits program.
- Coordinate shipping logistics for tradeshows, hardware, employee onboarding/offboarding using corporate accounts.
- Post job descriptions on internal site, Indeed, and LinkedIn.
- Maintain the organization's HRIS and asset log.
- Maintain communal SharePoint sites.
- Prepare semi-monthly payroll file and send to bookkeepers.
- Work with bookkeepers to add new employees to payroll.
**Qualifications**
- Bachelor's degree or equivalent experience in Business Administration, Marketing, Communications, or a related field.
- Proven experience as an executive assistant, client relations, or administrative assistant role.
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills, showcasing professionalism and empathy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- High degree of discretion, integrity, and the ability to handle confidential information.
- A proactive and solution-oriented mindset, with the ability to anticipate needs and take initiative.
- Ability to collaborate cross-functionally and build positive relationships with clients and colleagues.
- Detail-oriented with a commitment to accuracy and quality in all tasks.
