**SITE OFFICE MANAGER (SOM) DUTIES**:
As an on-site office manager for Crescent Place Condominium, a 297 Unit complex, the Site Office Manager (SOM) role is crucial in ensuring the smooth operation of the property and providing exceptional service to residents. The SOM plays a vital role in ensuring the efficient operation, maintenance, and overall well-being of Crescent Place, a large, aging residential condominium. This on-site position requires a proactive professional with strong technical, administrative, and interpersonal skills who can work independently and make informed decisions without direct supervision. The SOM will act as a key liaison between residents, contractors, the Condominium Manager, and the Board of Directors, upholding high standards of service, accountability, and confidentiality.
Some of the key job duties and responsibilities include:
**1. Administrative tasks**: The SOM will be responsible for managing various administrative tasks, such as maintaining accurate records, handling correspondence, scheduling meetings, and coordinating with other site service providers (i.e. Janitorial, Pool Maintenance Contractor).
**2. Resident communication**: The SOM will act as the main point of contact for residents, addressing their inquiries, concerns, and requests promptly and professionally. Effective communication skills are essential to maintain positive relationships with the residents.
**3. Property maintenance**: The SOM will oversee the maintenance and repairs of the condominium's common areas, ensuring they are well-maintained, clean, and safe for residents. This includes coordinating with contractors, conducting regular inspections, and addressing any maintenance issues promptly.
**4. Financial management**:The SOM may be responsible for managing the collecting fees and dues from residents, and ensuring all financial transactions are accurately recorded and documented. Basic knowledge of financial management is crucial for this aspect of the role.
**5. Rules and regulations enforcement**: It is the SOM’s responsibility to enforce the rules and regulations set by the condominium association. This may involve monitoring compliance, addressing violations, and taking appropriate action when necessary.
**6. Emergency response**: In the event of emergencies or security concerns, the SOM will need to act quickly and effectively to ensure the safety and well-being of residents. This may involve coordinating with emergency services or implementing emergency protocols.
**7. Board and committee support**: The SOM will be required to provide administrative support to the condominium's Board of Directors or various committees, assisting with meeting preparation, document management, and following up on action items.
