**Company Summary**:
Cad Rail Industries Ltd was founded in 1968 and is headquartered in Montreal. We take pride in being North America’s leader of full-service solutions in the freight, passenger and commuter rail industries in Canada, the United States and offshore. Cad Rail has other facilities in Calgary, Lethbridge (under Caltrax banner) and has recently been selected by the ONxpress Transportation Partners association to provide all legacy fleet maintenance services for the Metrolinx rail fleet of approximately 1000 bi-level coaches and 90 locomotives. Cad rail’s delivery team will operate and maintain Metrolinx’s rail maintenance facilities in Etobicoke and Whitby, as well as in multiple overnight along with mid-day light servicing facilities located across the Metrolinx train service area.
**Summary of the role**:
The Document Control Manager will be responsible for managing all aspects of the document control administration for Metrolinx’s Legacy Fleet Maintenance operations.
This individual will collaborate with the management team, customers, suppliers, partners and involved stakeholders.
Reporting to the Quality Assurance/Quality Control/Customer Experience Manager will oversee all document and record control operations, policies and procedures for the secure management and access of company information assets.
**Core Accountabilities**:
- Confirm that all HSE policies, processes and procedures are being complied
- Manages and oversees the administration of the project’s document management process including archiving
- Responsible for establishing a procedural framework for the collection of the controlled documents, including developing and/or enhancing document controls and tools, managing, and enforcing the collection, distribution and filing of controlled documents
- Establish security protocols for the access, storage, backup, maintenance, protection, and disposition of all documents. Ensures document integrity, quality, and version control
- Write and maintain document control procedures and participate in the development and rollout of document control tools
- Ensure the management control system is implemented in compliance with all business standards
- Manage documents in Aconex and review/verify the accuracy of data
- Manage official transmission to and from the customer relating to controlled documentation including such information from the Document Control Specialists
- Manage all standard documents and ensure ISO9001 compliance
- Ensure the proper coordination and distribution of all control documents and internal communication
- Oversee internal document control requests and ensure documents are retrieved from the database in a timely manner
- Ensure documentation control principles are respected by all members of the business
- Ability to develop KPIs and present data
- Prepare senior management relating any potential complications
- Work with the team to prepare and create recurrent reports that are requested by operations or higher
- Comply with the company’s applicable policies and procedures as well as human resources guidelines
- Ensure the SharePoint Filing framework is organized and follows and logical process aligned with project deliverables and records.
**Qualifications**:
- Ability to build a strong rapport with the team and unionized maintenance personnel
- 5 to 7 years experience in Document Control and/or a related field. Rail locomotive and passenger coach experience and knowledge is an asset
- Prior experience managing a team
- Experience with ISO9001 compliance
- Experience working with Aconex and document control software
- Diploma or degree in a related field such as archive studies, library sciences, project management, or business administration. Consideration will be given to education, training, and overall experience
**Nice to have**:
- Experience working in an unionized environment
- Familiarity with other industries such as Aerospace
- Experience working in the rail industry with a comprehensive knowledge of rail equipment
