Through a trauma-informed approach, Cedar Strong offers housing, advocacy and education to build resiliency, empowerment and inclusion. Cedar Strong currently employs over 65 staff members who support its programs and services.

**Job Overview**

Reporting to the Human Resources Manager, the Front Desk Receptionist ensures the smooth and efficient execution of the organization’s administrative activities by acting as the first point of contact for the organization, welcoming and directing clients. This position operates from the head office’s front desk and performs a variety of administrative tasks to ensure organizational effectiveness and efficiency, while working in a fast-paced, multi-tasking environment.

**Responsibilities and Duties**

**Front Desk**
- Acts as first point of contact for the head office, including general telephone inquiries and receiving visitors in a professional, trauma-informed manner; listening and communicating in a manner that is respectful and dignified

**Administration**
- Composes, compiles, and prepares correspondence and documentation for internal and external meetings and records
- Coordinates smooth communication between the Management Team and internal departments
- Ensures files and information recording systems are maintained to produce current and accurate statistics and reports
- Sorts and distributes incoming mail and faxes; ensures timely mailing of outgoing correspondence
- Updates and maintains general administrative documentation (e.g., internal phone directories; forms; pamphlets; etc.)
- Coordinates room bookings and assists meeting organizers with room set-up, catering options, amenities etc.

**Operations**
- Updates Cedar Strong website and Facebook page
- Orders and maintains adequate stock of stationery and office/kitchen/washroom supplies, including Personal Protective Equipment, harm reduction supplies, and hygiene kits
- Ensures the office, including the kitchen and common areas, are kept clean and presentable
- Operates office equipment and carries out minor maintenance such as loading paper, removing paper jams, cleaning glass, and changing toner cartridges
- Monitors and reports office equipment malfunctions
- Manages various vendor accounts and contracts including office equipment and cell phones by reconciling receipts and orders; investigating inconsistencies; directing payment to the finance department; and organizing and ensuring payments are ready for mailing
- Processes head office petty cash and provides reconciliation
- Provides IT support when necessary
- Provides general maintenance of HVAC system, outdoor upkeep, alarm system, and fire inspections

**Qualifications & Skills**
- High school diploma or equivalent
- 1 to 3 years of experience in administration
- Non-profit experience is preferred
- Excellent knowledge of Microsoft 365, including Word, Excel, Outlook, and PowerPoint
- Ability to understand, communicate and support the mission and values of Cedar Strong, and the models/methods of supporting clients
- Strong word-processing skills
- Strong analytical, problem-solving, and decision-making skills
- Strong organizational and time management skills with attention to detail
- Strong interpersonal and communication skills with the ability to professionally connect with a diverse group of individuals
- Willingness to work flexible hours is required
- Valid BC driver’s license and access to a reliable vehicle is required
- Satisfactory completion of a criminal records check with vulnerable populations is required
- An equivalent combination of education, training and experience will be considered

**Job Types**: Full-time, Permanent

Pay: $18.98-$22.11 per hour

Expected hours: 35 - 40 per week
