Responsibilities: Procurement Operations:Validate requisitions for completeness and compliance.Issue routine purchase orders within approval limits.Maintain procurement documentation in accordance with Ontario BPS requirements.Coordinate with Accounts Payable on invoice issues tied to pricing and purchase order discrepancies.Work with Operations teams for procurements under $5,000.Vendor Performance and KPI Management:Maintain the vendor KPI tracking system (OTD, accuracy, backorders, responsiveness).Collect monthly KPI data from suppliers; follow up on missing submissions.Prepare monthly KPI summaries and escalate recurring issues.Create and maintain a list of preferred vendors.Financial Accuracy and Contract Controls:Monitor and log purchase orders vs invoice discrepancies.Verify pricing against approved agreements.Identify recurring vendor errors and prepare monthly summary reports.Coordinate vendor outreach through the Senior Procurement Specialist.Keep contract and pricing files organized and up to date.Track contract expiry dates and notify Manager, Procurement and Inventory.Maintain document lists and folders.Support audits by providing procurement documentation.Reporting, Analytics and ERP Support:Check pricing and receiving data for accuracy to support KPI and discrepancy tracking.Flag item master issues to the Senior Inventory Specialist.Assist in preparing simple data extracts or summaries needed for quarterly reporting.Maintain basic tracking sheets used for monitoring procurement activity.Support other Programs/Departments for creating purchase requisitions, recording receipts/invoices in Business Central.RFx Administrative Support:Maintain version control and folder organization for RFx documents.Prepare scoring sheets, checklists, and basic binder packages as instructed.Schedule evaluation meetings and coordinate participant availability.Save and organize completed evaluation materials for internal record-keeping. Required Skills and Abilities: Ability to handle confidential information with discretion. Comfortable working in a fast-paced, multi-site healthcare environment.Reliability and consistency in meeting deadlines and maintaining accurate records.Willingness to learn procurement systems, policies and procedures. Required Knowledge and Experience: Minimum 1 year of experience in procurement, purchasing, supply chain, accounts payable, or similar administrative roles.Familiarity with purchase orders, invoices, receiving processes, and basic procurement workflows.Experience working with ERP systems (Business Central considered an asset).Understanding of vendor documentation, basic contract terminology, and pricing structures.Exposure to Ontario Broader Public Sector (BPS) procurement rules is an asset but not mandatory. Required Professional Designation/Certificate: College diploma or undergraduate degree in Business, Supply Chain, Finance, or a related field.Supply chain/procurement certifications (SCMP, PMAC, CPP, etc.) are an asset but not required.
