About the Position NOTE: This is a Temporary Full Time Position, up until May 1, 2026. Join an energetic and dedicated team as the Office Programs Coordinator at the Edmonton Convention Centre—a temporary full-time position until May 1, 2026. In this role, you will play a vital part in supporting the Sales and Events teams by managing our venue management software, maintaining high-accuracy databases, preparing essential financial and event reports, and ensuring smooth administrative operations. Reporting to the Senior Sales Manager, you’ll be at the centre of event data integrity, office coordination, and system efficiency. You’ll collaborate closely with colleagues across the Edmonton Convention Centre, the Edmonton EXPO Centre, and other Explore Edmonton divisions. This is an exciting opportunity to support world-class events, enhance operational processes, and contribute to an exceptional client and guest experience in one of Canada’s premier event venues. What You’ll Do Venue Management Software & Reporting Maintain and update the event management system (USI), including GL accounts, tax schemes, and database accuracy.Prepare weekly and monthly reports (event listings, activity reports, contract reports, etc.).Complete event audits, ticket sales reconciliation, and event settlements.Support invoicing, deposits, receivables, and end-of-event reconciliation.Provide system training and troubleshooting to staff. Administrative Support Assist with scheduling and booking internal meetings.Prepare weekly revenue reports and verify contracted revenue.Provide reception coverage as needed.Manage office supplies, internal communications, newsletters, digital signage, and SharePoint updates.Support special projects and maintain departmental SOPs. Team Support Participate in cross-training and knowledge sharing across departments. What You Will Bring 1–2 years of experience in a fast-paced office environment. Experience with Office 365, particularly Excel, databases, and SharePoint. Experience with venue management systems (USI or similar) is preferred. Background in hospitality, event services, convention services, or meeting planning is an asset. Basic bookkeeping experience and understanding of accounting principles is an advantage. Exceptional organizational skills with strong attention to detail. Excellent communication, interpersonal, and customer service skills. Ability to work both independently and collaboratively in a multi-tasking environment. Professionalism and the ability to maintain confidentiality. Commitment to delivering positive guest experiences and upholding high service standards. Willingness to support health and safety practices and contribute to a positive workplace culture.
