Position overview

The Administrative Assistant role is responsible for the administration and support activities of the Merrithew Education Department with fellow Education Admin Assistants. This role is the first point of contact for a number of our students, along with supporting different members of the education team and training partners around the world. The Admin Assistants within the Education department will be required to provide coverage/ back-up support to the Corporate Training Center and Studio as necessary.

Major responsibilities

Managing the education admin inbox Reviewing and filing emails accordingly. Coordinating with the other education admin assistant to ensure inbox is filed. (file/download exams from Wetransfer/ dropbox, file royalties, payments portal emails, WeChat Payments, education inquiries etc.) Answering education related inquiries from students Ensuring that payment confirmation emails have been followed up with and applied. Payments from the portal must be entered into EMS/sage 300 and or transferred to the right teammate accordingly, including WeChat Payments. Distribute Education Sales leads internally to designated education team members, or follow up on general education leads Leads should be distributed and/or followed up within 2 business days of receipt Managing royalty's / class lists Enter and distribute Licensed Training Center (LTC) royalties on a daily basis LTC royalties should be entered in the royalty tracker daily and Merrithew EMS (Education Management System) within 3 days of receipt Follow up with any invoices for LTC partners and or application of account credits/ requests Enter all Merrithew education related class lists in Merrithew EMS; send completion letters, update qualifications, review/update/create new student records as needed in EMS and CRM. Update the royalty tracker when class list has been entered Class lists should be entered within 2-3 weeks of final date of education offering Provide LTC partners with monthly account statements as needed Generate weekly and monthly reports from the EMS and CRM systems Answer calls from general Merrithew reception line and redistribute to appropriate team members Provide administrative support to Merrithew Symposiums and Corporate Training Center as needed Front desk reception coverage and other back-up as required for Studio. Create course and workshop sell sheets (flyers) as required Other projects/ duties as assigned.

Skills and qualifications

University or College Degree in Business Administration and/or a related field Minimum of 1-2 years Administration/ Customer Service experience Strong project and time management skills with demonstrated success working under pressure and adhering to deadlines Strong attention to detail and highly organized Ability to manage a large volume of different tasks efficiently Excellent Excel, PowerPoint, Word, and Outlook skills Additional languages, spoken and written, are a definite asset
