The City is committed to the professional development of our staff and invite you to come, grow with usReporting to the Supervisor, Children's Services & Early Years, the Program Support Assistant provides program and business support to Community Services and Social Development departments, including Family & Income Stability (FIS), Homelessness and Children's Services and Early Years, using knowledge of both provincial and municipal software and programs. Other duties of the position include, but are not limited to:Reviewing and processing accounts payables for Community Services and Social Development departments Monthly review and reconciliation of GL accounts Receive, process, post and reconcile revenue received and completes daily deposits, including client payments, assignments, funeral recoveries etc.Maintain, update and process Pre-authorized paymentsPrint, process and reconcile client, vendor and manual cheques and Direct Bank Deposits (DBD) Prepare pickup and pull lists for daily/monthly cheques and DBDManage funds through FIS bank accounts, including but not limited to completing deletions, stop payments and traces. Receive and process Ontario Disability Support Program (ODSP) discretionary and funeral assistance benefits based on eligibility guidelinesMaintain and reconciles Petty CashRetrieve and save daily/monthly SAMS / data reportsReconcile payments with database records and to the general ledgerComplete and code monthly contracted and ad hoc payables to stakeholdersCreate tracking tools to monitor financial payments for projectsPrepare and reconcile daily/monthly revenues/expenditures and entries for completion of the monthly subsidy claim forms Compiles monthly statistics, i.e. caseload, hostels, child care attendance, etc.Completes data analyses, including but not limited to CWELCC payments, fee subsidy projection and child care operating capacity, following up with stakeholders to ensure accuracy and providing reports to staff / management.Posts journal entries to JD EdwardsCoordinates all purchasing/ordering for the Commission and follows up with vendors and other City departments regarding payment inquiries and order details. Coordinates service/repairs/supplies for office equipment Maintain inventory of paper forms and publications. Arrange and coordinate movers and/or maintenance staff for the officeParticipate in self-evaluation of performance to enhance effectiveness and strengthen any weak areas.Participate in ongoing development of relevant skills/knowledge.Communicate continually and effectively as a team member and be an active and cooperative team member.Participate at staff meetings or in-house training.Provide input and bring forward suggestions for procedural improvements to the manager as identifiedBe knowledgeable about all program support duties/responsibilities to assist when/where necessary to accomplish department tasks/goals, cross training other PSA s as required.Accurately input client information into relevant system, including SAMS, OCCMS etc. as required for the positionMaintaining a filing system of financial records for Commission departments, including Family & Income Stability, Children s Services and HomelessnessComplete all other duties as assigned by Manager/Supervisor  Qualifications Secondary School Diploma as well as successful completion of a minimum 3 year post-secondary education from a recognized public post-secondary institution, specializing in business and/or accounting Detailed knowledge of both computerized and manual accounting systems, such as JD EdwardsExcellent knowledge of office productivity software programs, including demonstrated skills in all aspects of Microsoft Office Suite programs, including Word, Excel and OutlookSound knowledge of general office procedures with demonstrated organizational and analytical skillsAbility to meet multiple demands, while maintaining a high-performance standard, ensuring accuracy and completenessAbility to manage tight timeframes and meet simultaneous deadlinesA minimum of six (6) to twelve (12) months of related experience Ability to travel to off-site locations in a timely and efficient manner, as requiredPossess a valid Class G driver's license in good standing during the course of employment As a condition of employment, proof of current and valid certificate(s) and/or educational qualifications will be required.
