Individuals who anticipate needing accommodations for any part of the application process, may contact HR in confidence, prior to the closing date.Responsibilities: The position sets up and schedules WTCS courses, handles daily administrative tasks, and supports student registration, instructors, and program logistics. It serves as a frontline contact for students, staff, and community members, ensures smooth delivery of non‑credit and contract training, maintains program records, and assists with room bookings, regulatory requirements, and general administrative needs.An illustrative sample of key responsibilities:Set up course and contract sections in Colleague (Timetabling) ensuring accuracy of data entry from Program Officers/Coordinators throughout the college region Support cost-recovered programs and non-credit public courses and related duties which can include budgeting, scheduling, instructor recruitment, assisting in preparing instructor packages, registering students and taking payments, and completing files at end of program/courseCreate promotional and marketing materials in collaboration with the Communications departmentUpdate website content and social media as needed.Process external/internal room bookings for the Terrace Campus.Support the delivery of online courses with Ed2Go/Gatlin EducationOversee Exam Invigilation, including organizing hiring and training invigilators Qualifications High school graduation and a minimum of one-year post-secondary education in office or business administration along with a 2-3 years directly related office experience. An equivalent combination of education and office experience may be considered. Required knowledge, skills and abilities include:Class 5 Driver’s LicenseDemonstrated proficiency using standard office technology (experience with Colleague is an asset) Knowledge of basic budget and reportingClient-oriented with effective written and verbal communication skillsAble to maintain a high level of integrity and discretion in handling confidential informationProven capability to thrive in a fast-paced environment, managing multiple priorities and meeting tight deadlines without compromising qualityStrong organizational and time management skills, with a keen attention to detail in all aspects of workStrong problem-solving and decision-making abilities, with a proactive approach to addressing challenges and finding innovative solutions.
