The Opportunity The Lead Hand of Library Access Services will coordinate, schedule and monitor the daily activities of assigned library staff and student staff, to ensure effective delivery of front-facing services and key Library services, working closely with other Lead Hands to ensure smooth delivery of core library services at the Bikram S. Dhillon & Family Medical Library. Administers and provides oversight of the Medical Library student employment program while contributing to procedural improvements and program initiatives. Provides lead hand oversight in the Medical Library to clerical tasks, including circulation, and supporting of borrowing and lending services at the Medical Library, ensuring consistent application of policies and procedures and effective support to library patrons. Monitors and maintains the public and reserve areas of the library, ensuring that the space is operational and in good condition. Reviews and implements processes that align with the Toronto campus and contributes to continuous improvement. Gathers data and prepares reports to support the Library’s planning, operations, and reporting requirements, working closely with the Department Head.The location of Work: 4 to 5 days a week onsite, based on operational requirements and subject to change, School of Medicine building in Brampton.Key ResponsibilitiesAssign, coordinate and monitor the daily activities of assigned library staff and student staff, develop shift schedules, maintain and approve timesheets and liaise with other Lead Hands to determine staffing needs, including, orientation, ongoing training, participate in priority setting processes, and act as a first point of contact for assigned staff to resolve client services issues.Support Medical Library Student Employment Program Coordination, including recruitment, creation and submission of proposals, deliver training and orientation sessions, workshops, and recognition events to new student staff.Monitor and report on the physical environment of the Medical Library including maintenance, property damage, and cleanliness while maintaining accurate floor plans.Ensure Reserves and Resource Sharing and Interlibrary Loan services comply with the TMU Fair Dealing Guidelines, consulting with the Copyright Librarian as needed and ensure provision and effective delivery of reserve requests.Oversees the collection and processing of internal and external statistics. Responds to statistical queries for assigned areas in library services and spaces. QualificationsTo help us learn more about you, please submit your cover letter and resume in 1 PDF file describing how you meet the following required qualifications:Completion of a post-secondary certificate in a relevant field.A minimum of two (2) years of practical technical library experience coordinating and/or supervising roles with responsibility for overseeing staff and services.Strong communication and interpersonal skills and the demonstrated ability to work with a team of staff.The ability to think critically and apply judgement to follow and implement established policy and procedure.Organizational, administrative skills; assigns work effectively and efficiently; adjusts workflows on a continuous basis in line with organizational priorities.Demonstrated knowledge of office productivity software, especially Google Drive and Excel.Strong oral and written communication skills and presentation skills.Commitment to excellent customer service.Analytical, problem solving, and numeracy skills.A demonstrated commitment to client service---specifically staff, faculty, students, and external contacts.Strong interpersonal skills along with sound judgement, tact and diplomacy are necessary to deal effectively with students, staff, faculty, and the public.Good verbal and written communication skills are required to assist librarians with communications, marketing and outreach programs and to explain policies and procedures related to the responsibilities of the position.Strong organizational, administrative and time management skills, as well as attention to detail, are required to maintain proficiency in various areas of library operations, particularly with regard to information technology.Ability to direct and coordinate daily work assignments of designated staff is required.Good training and presentation skills to assist with orientations, instructional programs and staff training.
