Receptionist/Maintenance Coordinator (Larlyn Holdings) Larlyn Property Management is seeking an experienced and highly motivated Receptionist / Maintenance Coordinator. This full-time role is ideal for an individual who exemplifies outstanding customer service, is an effective communicator, and thrives in a dynamic, team-oriented environment. In addition to reception and administrative responsibilities, this position plays a key role in supporting and coordinating maintenance operations and assisting with oversight of the Facilities Management team. Key Responsibilities Reception & Administrative Support Respond to telephone calls, faxes, emails, and walk-in inquiries, addressing issues or concerns wherever possible. Process remote cheque deposits via scanner. Assist with customer email responses as required. Process lease agreements and ensure full compliance with lease terms across the property portfolio. Complete move-in and move-out processes, ensuring accurate and timely documentation. Apply charges and payments to ledgers accurately. Collaborate with the team to recommend service improvements based on customer feedback and operational results. Maintenance Coordination & Facilities Support Serve as a primary liaison for maintenance-related inquiries, ensuring timely and professional communication with tenants, and internal teams. Coordinate work orders from creation to completion, ensuring accuracy, prioritization, and timely follow-up. Monitor progress and completion of maintenance work, ensuring tasks are completed to standard and within expected timelines. Support and help supervise day-to-day coordination of the Facilities Management team, ensuring alignment on workload, priorities, and service delivery expectations. Coordinate with Property Managers and Operations teams on maintenance scheduling, unit access, work order requirements, and resident notifications. Track recurring maintenance, and outstanding deficiencies, escalating issues when required. Ensure documentation, updates, and maintenance records are complete and properly filed in Yardi and other internal systems. Qualifications & Requirements Strong customer service orientation with excellent interpersonal skills. Administrative expertise with a high attention to detail. Proficiency in Microsoft Office Suite. Experience with Yardi software preferred. Familiarity with Accounts Receivable processes. Strong time management and organizational skills, with the ability to multi-task effectively. Experience in a fast-paced, evolving environment is an asset. Excellent written and verbal communication skills, including proofreading. Proactive problem-solver, able to manage competing priorities with a sense of urgency. Reliable team player with a strong work ethic. Must be bondable and able to pass a criminal record check.
