Job Title: Facilities Coordinator Location: Woodstock Hospital, Woodstock, ON Schedule: Monday to Friday, 8:00 AM – 4:30 PM (Fully On-site) Vaccination Requirement: Must have received at least 2 doses of the COVID-19 vaccine Position Overview: Woodstock Hospital is seeking a proactive and detail-oriented Facilities Coordinator to support day-to-day operations of the facilities and maintenance department. This role plays a key part in ensuring the smooth scheduling of maintenance activities, coordinating subcontractor work, and supporting internal teams in maintaining a safe, efficient, and compliant hospital environment. Key Responsibilities: Coordinate with subcontractors and vendors for routine and emergency maintenance, inspections, and repair work. Assist the in-house maintenance team by scheduling work orders, tracking progress, and ensuring timely completion of tasks. Manage and update maintenance schedules , equipment logs, and service records in coordination with team leads and management. Serve as the main point of contact for incoming maintenance-related requests, ensuring they are logged, prioritized, and addressed efficiently. Utilize Excel, Microsoft Teams, SharePoint, and Outlook to support communication, documentation, and task coordination. Maintain strong organizational systems to track preventative maintenance plans and coordinate contractor site access. Provide administrative support including generating reports, maintaining digital records, and assisting with internal audits and compliance checks. Participate in safety awareness and facility improvement initiatives , ensuring procedures align with hospital policies and standards. Qualifications: Basic knowledge of maintenance operations, building systems, or facility services preferred Strong interpersonal and communication skills for working with cross-functional teams and external vendors Proficient in Microsoft Excel (beginner to intermediate) and comfortable working with Microsoft Teams, SharePoint, and Outlook Highly organized with excellent time management and the ability to prioritize multiple tasks Self-motivated, detail-oriented, and capable of working independently in a fast-paced healthcare environment Must be fully vaccinated with at least two doses of the COVID-19 vaccine
