Position Description The Asset Management and Lease Administrator supports the asset management and leasing teams for Northwest Healthcare’s Canadian portfolio by providing timely and proactive coordination of various business functions. A priority for this role is the detailed and accurate inputting of transactions into the company’s accounting system. The Asset Management and Lease Administrator is an enthusiastic collaborator who provides valuable support to the Vice President, Asset Management and to the asset management and leasing teams.Key Responsibilities Lease Administration Creation of lease abstracts and input of lease transaction details into Yardi, including new leases, lease renewals, remeasurements, etc.Collaborate with the Accounting group to ensure information in the system is accurate and reliableCoordination of leasing processes to assist in the marketing and leasing of space in the national portfolioAssist with annual budgets and forecasts and ad hoc reporting requirementsProvide support for business development initiatives such as proactive leasing strategiesCoordinate the rental program for a multifamily propertyLeasing Construction Coordination Coordination between leasing team, project management, and third-party property management for lease related construction projectsLiaise with 3rd party property management team to coordinate workflows between asset management, leasing, and property managementAsset Management SupportProvide executive assistant support to the Vice President, Asset ManagementManage calendars and arrange travel through diligent planning, coordination and communication to optimize time managementProvide overall administrative support to Asset Management teamCoordinate asset management schedules, events, and meetingsCreation of Word documentation and basic Excel spreadsheetsCreate business expense reports for Asset Management personnelHandle general office functions in Calgary such as ordering supplies and organizing couriersPerform other related duties as requiredKnowledge Skills and Experience RequiredMinimum 3 years of related property administration, executive support, or related experience (commercial real estate preferred)Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)Yardi experience is strongly preferredStrong organizational and time-management skills with the ability to manage competing priorities and meet deadlinesHigh attention to detail, accuracy, and data integrityStrong customer service mindset, always eager to help others on the asset management and leasing team, likes to help othersProfessional communication skills with the ability to build positive relationships with colleagues and other stakeholdersSelf-motivated, flexible, and able to work independently while contributing to a collaborative team environmentComfortable in a dynamic environment and capable of managing multiple prioritiesOccasional availability outside regular business hoursStrong commitment to and demonstration of confidentialityHigh level of professionalism, with a polished and approachable demeanor.
