Asset Management and Lease Administrator

The Asset Management and Lease Administrator supports the asset management and leasing teams for Northwest Healthcare’s Canadian portfolio by providing timely and proactive coordination of various business functions. A priority for this role is the detailed and accurate inputting of transactions into the company’s accounting system. The Asset Management and Lease Administrator is an enthusiastic collaborator who provides valuable support to the Vice President, Asset Management and to the asset management and leasing teams.
Lease Administration
Creation of lease abstracts and input of lease transaction details into Yardi, including new leases, lease renewals, remeasurements, etc.
Collaborate with the Accounting group to ensure information in the system is accurate and reliable
Coordination of leasing processes to assist in the marketing and leasing of space in the national portfolio
Provide support for business development initiatives such as proactive leasing strategies
Coordinate the rental program for a multifamily property
Leasing Construction Coordination
Coordination between leasing team, project management, and third-party property management for lease related construction projects
Liaise with 3rd party property management team to coordinate workflows between asset management, leasing, and property management
Asset Management Support
Provide executive assistant support to the Vice President, Asset Management
Manage calendars and arrange travel through diligent planning, coordination and communication to optimize time management
Provide overall administrative support to Asset Management team
Coordinate asset management schedules, events, and meetings
Creation of Word documentation and basic Excel spreadsheets
Create business expense reports for Asset Management personnel
Handle general office functions in Calgary such as ordering supplies and organizing couriers
Minimum 3 years of related property administration, executive support, or related experience (commercial real estate preferred)
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Strong organizational and time-management skills with the ability to manage competing priorities and meet deadlines
High attention to detail, accuracy, and data integrity
Strong customer service mindset, always eager to help others on the asset management and leasing team, likes to help others
Self-motivated, flexible, and able to work independently while contributing to a collaborative team environment
Comfortable in a dynamic environment and capable of managing multiple priorities
