Maintenance Coordinator Job Summary

The Maintenance Coordinator is responsible for equipment data collection, job plan documentation, job plan tasking, preventative maintenance scheduling, data reporting, and CMMS end-user training. This role ensures adherence to policies and procedures, ensuring data integrity, quality planning, and KPI work order metrics are achieved by the team.

Key Duties and Responsibilities

  1. Maintains and updates equipment data base and preventative maintenance program.
  2. Provides data collection procedures, forms, and checklists to support data inputs into service maintenance management database.
  3. Provides suggestions and assists with improvement of relevant procedures and resources.
  4. Provides quality and efficient asset-based preventative maintenance program.
  5. Asset grouping of like equipment for coordinated maintenance.

Work Orders

  1. Provides monitoring and reporting for PM work order performance and adherence to service delivery.
  2. Advises management team of issues, concerns, or non-compliance to standard.

Preventative Maintenance Scheduling

  1. Creates preventative maintenance schedules based on assets.
  2. Reviews and updates work schedules taking into consideration factors including but not limited to current workload and geographical proximity to facilities or specific site conditions.
  3. Generates reports to review Technician workload with team and managers.
  4. Provides resource allocation recommendations to assist with optimizing resource utilization.

Job Plan Documentation

  1. Liaises with relevant stakeholders to gather work procedures in order to prepare and/or maintain related job plans.
  2. Provides suggestions on applicable job plans based on asset or job requirements.

Reporting

  1. Generates data and prepares various reports to managers and team.
  2. Reviews reports and communicates observations and recommendations to operations team.

End User Training

  1. Provides training to CMMS end users.
  2. Other duties as assigned.

Knowledge and Skills

  1. 1 to 3 years of facility services administration work experience.
  2. Community college diploma or equivalent training (RPA, CET).
  3. Strong administrative and organizational skills.
  4. Strong attention to detail and data accuracy.
  5. Ability to communicate clearly and effectively with others for the purpose of data exchange, clarification, and follow-up.
  6. Ability to capture work procedures provided by others accurately and prepare accurate job plans.
  7. Ability to create accurate maintenance schedules based on contract requirements.
  8. Proficient with MS Office suite of applications along with ability to quickly learn new software applications and information systems.
