Job Summary

The New Brunswick Extra Mural Program is seeking a highly organized and detail-oriented administrative support specialist to provide administrative services to the EMP Unit. The successful candidate will be responsible for performing receptionist duties, processing referral requests, admitting, transferring, registering, and discharging patients.

The ideal candidate will have excellent communication skills, be proficient in Microsoft Applications, and possess strong interpersonal skills, good judgment, and decision-making skills.

Key Responsibilities:

  • Receptionist duties: answering telephone, greeting visitors, taking and relaying messages; screening callers, identifying problems, and forwarding to appropriate staff
  • Processing referral requests; entering physicians' orders
  • Admitting, transferring, registering, and discharging patients
  • Assembling, disassembling, and maintaining charts; filing reports
  • Fleet maintenance: coordinating vehicle fleet maintenance, ensuring vehicles are assigned to employees, and maintaining all related vehicle documentation
  • Administrative support: creating and typing documents, performing general office duties, maintaining inventory of office equipment and medical supplies, compiling statistics, and producing reports

Required Qualifications:

  • High school graduation plus an administrative support program of over one year and up to two years, including medical terminology/transcription courses
  • One year of previous work experience
  • Demonstrated proficiency in Microsoft Applications (Beginner Level) - Word, Excel, Outlook, PowerPoint, Typing, Medical Terminology, Data Entry
  • Valid and clean criminal record check
  • Ability to work efficiently as a member of the team, possessing strong interpersonal skills, good judgment, and decision-making skills
  • Must be able to work all shifts as assigned, maintaining a good attendance record
  • Must have a high regard for confidentiality and excellent work habits
