We Must is seeking an organized and reliable Executive Support Associate to join our team. In this role, you will be responsible for providing administrative support to our executives, ensuring seamless day-to-day operations.

About the Role

This is a fantastic opportunity for someone who is highly organized, able to multitask, and has excellent communication skills. You will be working in a fast-paced environment, so it's essential that you are able to work independently and prioritize tasks effectively.

Duties and Responsibilities
  • Meeting Coordination: You will be responsible for coordinating meetings, seminars, and conferences, including preparing minutes and action items.
  • Office Procedures: You will determine and establish office procedures and routines, ensuring that all tasks are completed efficiently and effectively.
  • Scheduling and Confirmations: You will schedule and confirm appointments, as well as ensure that all necessary documentation is prepared and distributed.
  • Communication: You will be the primary point of contact for internal and external stakeholders, responding to telephone calls, emails, and other forms of communication.
  • Data Management: You will compile data, statistics, and other information, as required, to support business decisions.
  • Inventory Management: You will order office supplies and maintain inventory levels, ensuring that all necessary materials are available when needed.
  • Client Services: You will greet clients and direct them to contacts or service areas, ensuring that they receive the highest level of service.
  • Filing Systems: You will set up and maintain manual and computerized filing systems, ensuring that all documents are accurately stored and easily accessible.
  • CORRESPONDENCE: You will type and proofread correspondence, forms, and other documents, ensuring that they are accurate and professional.
Requirements and Qualifications

To be successful in this role, you will need to have:

  • High School Diploma: A high school diploma or equivalent is required.
  • Language Skills: Proficiency in English is essential, as well as basic computer skills.
  • Time Management: Excellent time management and organizational skills are crucial, as well as the ability to prioritize tasks effectively.
  • Attention to Detail: You must be detail-oriented and able to maintain accuracy in all aspects of your work.
  • Teamwork: You will be working as part of a team, so excellent teamwork and communication skills are essential.
Work Environment

You will be working in a fast-paced office environment, with frequent deadlines and priorities changing throughout the day. It's essential that you are able to work independently and adapt to changing circumstances.

Estimated Salary

The estimated salary for this role is $40,000 - $50,000 per annum, depending on experience.
