Marketing Assistant (Administrative Role)

We are seeking a highly organized and detail-oriented Marketing Assistant to join our 18-person Marketing & Communications team at The Ottawa Hospital. As a key member of our team, you will provide administrative support to our Chief Marketing Officer and contribute to the success of our marketing initiatives.

Key Responsibilities:

  • Provide calendar management and scheduling support to the Chief Marketing Officer
  • Coordinate with the Finance department to arrange timely payment of invoices and record expenses in the budget tracking document
  • Coordinate with vendors to obtain estimates, quotes, and invoices, and facilitate internal approvals
  • Monitor emails received to our main marketing inbox
  • Liaise with the hospital's facilities staff to install and maintain physical and digital marketing assets
  • Restock marketing collateral and remove outdated materials
  • Order swag, promotional items, and branded marketing materials

Requirements:

  • Administrative and/or project management experience
  • Proficiency with Microsoft Office and ability to learn new software
  • Excellent attention to detail and organizational skills
  • Ability to work independently and as part of a team
