About the Opportunity:
Aviso Wealth is seeking a Part-Time Facilities Administrative Assistant to join our Facilities & Office Services team in Toronto, working 2 days a week.
Key Responsibilities:
- Provide facilities and office services tasks in a timely and customer service-oriented manner.
- Assist with reception desk duties, including welcoming clients and staff.
- Receive and mail out courier packages.
- Assist with distributing snacks and catering during company events.
- Greet and serve clients at the reception area.
- Administer the facilities inbox in collaboration with the Vancouver office.
- Assist with onboarding and offboarding employees.
- Issue and track building access cards, desk/office keys.
- Provide high-level customer support to executive assistants.
- Monitor and maintain vendor contracts and schedule renewals.
- Perform light cleaning duties, including loading and unloading dishwashers in the kitchens.
Requirements:
Your Experience and Skills:
- Excellent customer service skills, with a collaborative and team-oriented attitude.
- Post-secondary education preferred.
- 2 years' experience in a similar position.
- Strong experience with the MS suite of products, including Word, Excel, and Outlook.
- Experience with Office 365 and Teams preferred.
- Experience working with vendors, building management, and construction project trades and consultants is preferred.
- Strong aptitude to learn new systems and technology.
- Ability to learn quickly in a fast-paced environment and strong attention to detail.
- Strong organization skills with a process improvement mindset.
- Ability to prioritize and multitask.
- Fluent communication skills in English are required, and bilingual skills in French are an asset.
