Job Summary

We are seeking a highly organized and detail-oriented Surgical Coordinator to join our team at Fraser Health.

The successful candidate will be responsible for preparing, maintaining, and distributing daily and weekly Operating Room (OR) slates using a computerized scheduling system. This role requires strong communication and interpersonal skills, as well as the ability to work effectively in a fast-paced environment.

Key Responsibilities
  • Prepare and maintain accurate and up-to-date patient and surgical information in the computerized scheduling system.
  • Communicate with OR staff, medical offices, and hospital departments regarding surgical bookings, changes, and revisions to surgical slates.
  • Review surgical booking packages for completeness and accuracy.
  • Prepare and distribute daily and weekly OR slates using a computerized scheduling system.
  • Collaborate with the Surgeon's office to assign patients to OR slates according to type and expected duration of surgery.
  • Adjust initial slates using information such as changeover procedures and blood requirements.
  • Recommend staffing needs to ensure effective and efficient utilization of surgical beds.
  • Coordinate activities with OR Medical staff, medical offices, and various departments regarding surgical bookings.
  • Notify appropriate areas of discrepancies or adjustments to be made to the OR slates.
  • Input patient information into a computer and maintain current computerized surgical waiting list for surgical procedures.
  • Monitor surgical cancellations and reschedule according to established policies and procedures.
  • Review and maintain current records for physician's vacations, on-call schedules, requests, and acceptance of unused surgical blocks.
  • Make revisions to booking model and review bookings which have not been scheduled.
  • Verify and enter cancellations; re-file or return documentation to physician's office.
  • Adhere to surgical booking bed map guidelines.
  • Maintain filing systems by performing duties such as indexing, labeling, and filing materials.
  • Assist in preparing statistics and waitlists by running reports as required by the Ministry of Health.
  • Participate in creating a safe and healthy work environment by understanding and following Health and Safety rules, regulations, and practices.
  • Participate in Continuous Quality Improvement activities to enrich and advance processes through the effective use of resources to meet the needs of the client.
Qualifications

Grade 12 and three years recent related experience or an equivalent combination of education, training, and experience.

Ability to keyboard at 45 w.p.m. Knowledge of medical terminology Ability to communicate effectively both verbally and in writing Ability to deal with others effectively Physical ability to carry out the duties of the position Ability to organize work Ability to operate related equipment
