Dermatology Business Unit Coordinator

Job Summary:
The Dermatology Business Unit Coordinator - Strategic Operations Specialist provides strategic administrative and project coordination support to the Vice President and the Dermatology Department. This role is integral to the day-to-day operations of the Dermatology Department, supporting and managing operational processes and creating a streamlined environment where the management team can successfully align with the LEO Pharma Strategic plan.
Main Responsibilities:
- Provide ad-hoc administrative and project support to the VP, including tasks such as booking flights, expenses, registration for conferences, PowerPoint presentations, graphs/charts, and supporting team meetings.
- Work closely with finance and the Dermatology team to process SOWs, invoices, phasing, accruals, and ensure good financial practices.
- Maintain product inventory, arrange for distribution of marketing materials, collect inventory from employees, and collaborate with the Bio-Dermatology Patient Support Manager on patient service vendor-related activities.
- Assist with logistics for customer meetings and conferences, including booking dinners, hotel rooms, and audiovisual equipment.
- Coordinate meetings and conferences, including site procurement, agenda preparation, travel arrangements, and catering.
- Manage department filing and databases, including vacation tracking and maintain Outlook mail groups using MS Forefront Identity Manager.
Requirements:
- 1-3 years of experience in an administrative support position
- Bilingual (English and French) is an asset
- College Diploma in Business Administration or equivalent program and/or experience is an asset
- High standards of ethics and confidentiality to handle sensitive information
- Intermediate level computer skills, comfortable working in a Windows environment using Microsoft Office products, specifically Excel and Word
- Highly organized with strong attention to detail
- Energetic and approachable
- Ability to exercise good judgment, show initiative, and be proactive
- Exceptional written and verbal communication skills
- Works well with people at all levels in the company and in all areas
Compensation:
The estimated salary for this position is around $65,000-$80,000 per year, depending on location and experience.
