The Workplace Coordinator position at Applicantz is a dynamic opportunity to cultivate an exceptional working environment for all members of the organization. As a key member of our team, you will provide comprehensive support services for the office and promote a best-in-class atmosphere, ensuring every employee can thrive.
Key Responsibilities:
- Workplace Quality Assurance: Take ownership of maintaining the quality of the workplace, ensuring all spaces are well-maintained and looking their best.
- Operational Readiness: Proactively assess operational readiness, identifying areas for improvement and implementing solutions to maintain a seamless work environment.
- Office Support: Respond to and resolve office-related questions, providing timely and effective support to employees, new hires, guests, and visitors.
- Procurement and Inventory Management: Responsible for procurement, placing food orders, and restocking snacks and supplies as needed, ensuring a well-stocked and organized office environment.
- Collaboration and Communication: Work collaboratively with cross-functional partner teams, including AV/IT, Security, and EH&S, and liaise with property management and serviced suite providers to ensure seamless operations.
- Reporting and Documentation: Manage and track various reports, metrics, and documentation on the SharePoint page, providing accurate and timely information to stakeholders.
- Process Improvement: Support the team by documenting current processes, suggesting improvements, and identifying issues in current workflows, driving continuous improvement and efficiency.
- Vendor Management: Work collaboratively with vendors to ensure high levels of service, maintaining solid communication and good working relationships.
- Ticketing and Resolution: Utilize the workplace ticketing system to efficiently address service requests, repairs, and maintenance needs, quickly diagnosing issues, recommending solutions, and coordinating with outside vendors as needed to provide timely resolutions.
Requirements:
- 3 years of relevant experience in Workplace, Facilities, and Hospitality fields.
- Technical experience with building control systems, environmental systems, workplace technology, and audio/visual preferred.
- Experience with vendor management and the implementation of the corporate safety program.
- Excellent oral and written skills and proficiency with all Microsoft Office applications required.
- Customer service-oriented, with a pleasant, friendly, cheerful, energetic, courteous, and professional demeanor.
- Flexible and able to multi-task effectively.
- Organized and able to prioritize assigned tasks.
- Timely, accurate, and detail-oriented.
- Shows initiative and a willingness to learn.
- Ability to self-manage and effectively manage workload.
- Ability to collaborate with other business units within the Company.
