About the Role:

The Executive Assistant to the Chief Executive Officer at Good Shepherd Centres plays a vital role in the daily operations and strategic initiatives of the organization. This position involves a wide range of administrative tasks, including preparing documents, managing filing systems, coordinating appointments, and providing IT support.

Key Responsibilities:

  • Prepare documents, reports, agendas, and minutes for the CEO and Board of Directors
  • Manage electronic and manual filing systems
  • Coordinate appointments and meetings
  • Provide basic IT troubleshooting support
  • Handle inquiries, maintain schedules, and organize meeting materials
  • Process invoices, reconcile credit card statements, and register the CEO for conferences
  • Accurately prepare meeting packages for various committees
  • Engage in internet research, set up IT equipment for events, and provide backup administrative coverage
  • Organize special events and demonstrate proactive initiative in anticipating work needs

Requirements:

  • Post-secondary education in a related field (i.e. administrative studies)
  • Previous experience in a similar capacity
  • 3-5 years of progressive administrative experience
  • Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
  • Knowledge of phone etiquette and professional communication
  • High level of organization and the ability to manage multiple priorities simultaneously
  • Strong analytical and problem-solving skills
