We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at the Ontario Centres for Learning, Research & Innovation in Long-Term Care at Baycrest. This is a temporary 6-month contract position.

The successful candidate will perform administrative functions that support the effective and efficient program and operation at the Ontario Centres for Learning, Research & Innovation (Ontario CLRI) at Baycrest. Key Responsibilities include:

  • Scheduling, coordinating and assisting with meetings, activities, events, staff, trainees, and visitors
  • Setting up Zoom settings and invitations, taking minutes, and distributing meeting information to attendees
  • Providing customer service/helpdesk ticket support
  • Updating client account information, distribution lists, and other databases
  • Assisting with funding applications and financial paperwork
  • Assisting with committee meetings
  • Disseminating contracts and payroll
  • Adhering to policies and procedures for Baycrest employees
  • Receiving and processing payments/refunds for memberships, services, and products
  • Receiving and distributing daily mail/deliveries
  • Maintaining office security by following safety procedures and controlling access via the Reception Desk (visitor badges, etc.)
  • Providing administrative support for ad hoc items

The ideal candidate will possess an undergraduate degree, college diploma, or certificate in business administration or a related field (Education, eLearning, Computer Technology, or other related field). A minimum of two years of relevant work experience is also required. Knowledge of long-term care and older adults is an asset. The candidate should be comfortable learning new technology, have excellent oral and written communication skills, and be proficient in Microsoft Office including Word, Excel, Outlook, and PowerPoint.

Baycrest offers a competitive salary ranging from $45,000 to $55,000 per year, depending on qualifications and experience.
