Job Summary:

The Staffing Coordinator plays a crucial role in ensuring the day-to-day schedule for both CSA and Service provider staff is managed effectively. This position works in accordance with collective agreements to meet each Site's staffing requirements, balancing the need for staffing with offering time off. The Staffing Coordinator collaborates closely with the Workforce Management Analyst, CSA Operations, and Management team to monitor overtime, downtime, banked time, and sick time.

Key Responsibilities:

  • Maintain updated and accurate schedules and save them on the designated online drive.
  • Process all time off requests and shift trades in accordance with the Collective Agreements.
  • Maintain a working knowledge of multiple collective agreements.
  • Schedule replacements for all sick calls within the Site.
  • Support the on-boarding of new staff through educating them on the scheduling process, request for time off process, sick process, and collective agreement questions.
  • Collaborate with the Workforce Management Analyst to review data trends and staffing levels.
  • Schedule staff to clinics, committee meetings, training, and education.
  • Schedule nursing students to travel with their preceptors/mentors.
  • Attend next day meetings with Site management and CSA Team Lead to ensure staffing needs are being addressed.
  • Attend Site weekly and monthly workforce management production meetings.
  • Promote the Staffing Coordinator process to all stakeholders across the Site and provide awareness of the Staffing Coordinator Role.
  • Participate in process improvement through lean thinking and team kata.
  • Conduct ad hoc and regular data analysis to identify opportunities to improve effectiveness and efficiencies.
  • Attend local labour management meetings as required.

Requirements:

  • Post-Secondary education in a related field.
  • Three (3) years previous experience in workforce oversight, including a minimum of 1 year of experience creating and maintaining rotations and/or schedules.
  • Demonstrated experience in the health care system.
  • Experience with a unionized environment.

Skills:

  • Advanced Microsoft Excel skills.
  • Capable with Business Intelligence applications.
  • Knowledgeable about the Staffing Coordinator framework and related tools such as Procura, Cognos, and Excel Macros.
  • Excellent communication skills.
  • Strong attention to detail.

Working Conditions and Physical Demands:

This role requires a detail-oriented approach in a dynamic environment, with physical activity including lifting, carrying (using proper techniques), bending, reaching, kneeling, and other movements that emphasize good body mechanics. Individuals in the role are required to walk, sit, stand, and climb stairs throughout the day, with some tasks requiring fine hand movements.
