About the Role

The University of Toronto is seeking a highly skilled and organized Program Coordinator to support the Max Planck-University of Toronto Centre for Neural Science and Technology. Key Responsibilities
  • Provide exceptional student services and program support, drawing upon strong client-service orientation skills.
  • Regularly interact with faculty, hospital, and Max Planck Society administrators and scientists to advance the priorities of the Centre.
  • Advise student trainees on program and course requirements, providing detailed information on eligibility, requirements, procedures, policies, and deadlines.
  • Act as the first point of contact for general enquiries related to the Centre, responding to enquiries within the defined scope of the role and redirecting as appropriate.
  • Provide administrative support for joint research projects between the University of Toronto and the Max Planck Society, assisting in the preparation of grant applications and scientific writing.
  • Administer grants and funding sources supporting the activities of the Centre, analyzing service delivery and internal processes, and recommending improvements.
  • Coordinate meeting schedules, agendas, materials, action, and follow-up items, liaising with stakeholders to coordinate space and resource requirements.
  • Determine logistical details and activities for events and programming.
  • Create and maintain an online website and social media presence for the Centre, as well as an online portal for students and researchers to apply for fellowships.
  • Administer fellowships for graduate students and post-doctoral fellowships, and short-term exchange visitors in Canada and internationally.
  • Track and document expenses and financial commitments, ordering supplies, making purchases, and arranging catering.
Requirements
  • Bachelor's Degree in Biomedical Engineering, Neuroscience, Basic Science, or an acceptable combination of equivalent experience.
  • Minimum three years of experience in student service and student advising.
  • Experience coordinating programs and advising students on program requirements.
  • Demonstrated experience coordinating events and workshops.
  • Experience drafting and editing communication and promotional materials, updating social media outlets, and websites.
  • Experience managing calendars on behalf of senior leadership and supporting committees.
  • Advanced proficiency in MS Office Suite, Word Press, content management systems, and various social media platforms.
  • Excellent communication (written and oral) skills.
  • Strong client-service orientation skills.
  • Effective problem solver with exceptional organizational and time management skills.
  • Ability to frequently adjust priorities.
