About the Role

We are seeking a highly skilled and organized Research Program Coordinator to join our team at DIVERSE Research. The successful candidate will be responsible for overseeing the management of our research projects, ensuring smooth and efficient day-to-day operations, and managing administrative tasks.

Key Responsibilities
  • Project Management and Administration (40%)
    • Oversee staffing, facility plans, and other administrative and operational requirements related to the projects.
    • Coordinate meetings within and between institutions, with industrial partners, and co-funders.
    • Develop and implement systems to support the management and progress of the projects.
    • Monitor and report on progress, issues, risks, bottlenecks, and mitigation plans to the PI and key team members.
    • Assist the PI in the preparation of interim and final project reports, including data summaries, tables, figures, and financial summaries.
    • Coordinate and prepare components of all change documents, including Scope Change, Financial Adjustments, etc.
    • Prepare, reconcile, and submit formal reporting documents to funding agency and partners on any changes affecting project milestones, deliverables, schedules, or budgets.
    • Submit project end final reports, in conjunction with the PI.
    • Facilitate communication with the media, other institutions, and funding/co-funding agencies.
    • Manage, in part, contracts and work of project service providers.
    • Coordinate, in part, the hiring of team members and summer students.
    • Facilitate intra and inter-project communication.
    • Fulfill other administrative and financial requests of funders or other relevant stakeholders to ensure success.
    • Ensure DIVERSE website is updated each quarter.
  • Research Support (40%)
    • Assist in establishing, conducting, and maintaining scientific projects led by the PI, graduate students, or postdoctoral fellows.
    • Assist with entering and organizing data.
    • Support logistics for research projects.
    • Meet regularly (bi-weekly) with the PI to discuss research priorities, monitor progress, and plan short and long-term work.
    • Capture and disseminate minutes from research partner meetings.
    • Conduct inventory of forest attributes as required for research projects.
  • General Administrative Responsibilities (20%)
    • Manage the organization of Shared Drives with all relevant information.
    • Prepare interim financial reports, including variance identification, analysis, and explanations where applicable.
    • Assist PI with other administrative duties.
    Requirements
    • Education and Experience
      • Minimum Bachelor's degree (in biology, forestry, forest ecology) but a Master's Degree is preferred; equivalencies will be considered.
      • Demonstrated experience in lab and project management.
      • Proficiency with Microsoft office suite, virtual meeting platforms (Teams, Zoom).
      • Outstanding attention to detail.
      • Organized self-starter with the ability to work independently and proactively.
      • Ability to successfully manage multiple work priorities.
      • Experience with developing social media and web content.
    • Skills and Abilities
      • Strong project management skills.
      • Strong verbal and written communication skills in both English and French.
      • Strong aptitude and ability to manage multiple projects, each with potentially competing priorities.
      • Work well under pressure to meet deadlines in a dynamic team environment.
      • Excellent interpersonal skills are required.
      • Experience in lab management preferred.
      • Experience in field data collection in forest ecosystems is preferred, and knowledge of the forests of Eastern Canada is an asset.
