Black & McDonald Limited is seeking a highly skilled and organized Proposal Coordinator to join our Southern Ontario Business Development team. As a key member of our team, you will play a crucial role in supporting the development and submission of high-quality proposals to secure new business opportunities.
Key Responsibilities- Proposal Production: Collaborate with the Proposal Manager to lead the proposal production process, ensuring timely and accurate delivery of proposal responses to clients.
- Stakeholder Coordination: Work closely with multiple stakeholders to coordinate and prepare proposal responses, including Expressions of Interest (EOI), Requests for Qualifications (RFQ), Requests for Proposal (RFP), and Requests for Information (RFI).
- RFP/RFQ Review: Review and interpret RFP and RFQ documents to determine requirements for successful proposal submission, and liaise with client contacts regarding proposal deliverables.
- Proposal Content Development: Write, proofread, edit, and format proposal content, including adapting existing content and boilerplates, to ensure a cohesive and compelling proposal.
- Marketing Support: Collaborate with the Marketing and Communications team to develop graphics and visuals for proposal submissions.
- Library Management: Create, maintain, and update a library of standard marketing materials, including project profiles and resumes.
- Ad-Hoc Support: Provide support for ad-hoc business development initiatives, including preparing marketing materials for client presentations as required.
- Opportunity Identification: Monitor and identify opportunities on public portals and notify Division Managers of potential opportunities.
- Document Control: Assist with document control and management to support various pursuits.
- Effective Communication: Communicate clearly and concisely with stakeholders to ensure seamless proposal development and submission.
- Continuous Learning: Stay up-to-date with industry trends and best practices to improve proposal development skills.
- Customer Focus: Demonstrate a customer-centric approach to proposal development, ensuring that client needs are met and exceeded.
- Accountability: Hold self and others accountable for meeting proposal deadlines and delivering high-quality results.
- Problem-Solving and Innovation: Develop creative solutions to complex proposal development challenges.
- Teamwork and Collaboration: Work collaboratively with cross-functional teams to achieve proposal development goals.
- Values and Respect: Demonstrate respect and empathy for colleagues and stakeholders, fostering a positive and inclusive team environment.
- Degree or Diploma: Hold a degree or diploma from an accredited post-secondary institution.
- Marketing/Business Development Experience: Possess 1-2 years of experience in marketing, business development, or a related field, preferably in the Engineering or Construction industry.
- Writing and Editing Skills: Demonstrate strong writing, editing, and proofreading skills, with a keen eye for detail.
- Organization and Time Management: Exhibit excellent organization and time management skills, with the ability to work on multiple initiatives and meet deadlines.
- Communication and Teamwork: Possess superior communication skills and the ability to work effectively as part of a team.
- Proposal Coordination: Possess experience in proposal coordination in a construction setting, an asset.
- Technical Skills: Be proficient in MS Office (Word, Excel, PowerPoint, Visio) and PDF editing software.
