Job Summary

The Parts Service Advisor will provide technical support in the procurement and supply of parts, components, materials, and consumables to facilitate equipment repairs. This role involves working with preferred vendors, tracking parts for arrival, storing parts, and ensuring the prompt return of damaged and incorrect parts.

Key Responsibilities
  • Order parts, confirm orders, and monitor delivery times to ensure timely receipt of necessary components.
  • Receive and label all shop-related items, distributing them immediately upon receipt or storing them in an organized manner until the assigned job is ready for the part.
  • Track incomplete order status (outstanding orders and back orders) and follow up as necessary to prevent delays.
  • Inspect all parts for damage, quality, and accuracy upon arrival to ensure they meet the required standards.
  • Return and re-order any damaged or incorrect parts to maintain the quality of equipment repairs.
  • Pick up parts at vendors as requested to streamline the procurement process.
  • Track and monitor parts-related vendor returns, including warranty items, to ensure efficient resolution.
  • Look for alternative suppliers (new and used parts) to optimize procurement costs and efficiency.
  • Assist the shop with parts-related research to ensure accurate and timely procurement.
  • Perform other duties as assigned to support the team's goals and objectives.
Required Skills and Qualifications
  • Completion of post-secondary education in a relevant field.
  • Prior experience in parts procurement or a related field is an asset.
  • Prior clerical or warehouse experience is preferred.
  • Prior experience in a heavy equipment shop is preferred.
  • Strong computer skills and the ability to learn new programs.
  • Exceptional communication skills, both oral and written.
  • Ability to read and understand the basics of repair instructions and work orders.
  • Outstanding organizational and multi-tasking skills, with the ability to adapt to a fast-paced environment.
  • Personable and friendly demeanor with a solid customer service approach.
  • Ability to work consistently in a climate-controlled professional office and shop environment.
  • Requires long periods of sitting or standing, depending on daily workflow.
  • Requires the use of standard office equipment, such as computers, copiers, and scanners.
  • May require moderate standing, walking, bending, or stooping.
  • May require lifting of up to 50lbs.
