Key Responsibilities:

  • Responsible for the scheduling and optimization of service and inspection work.
  • Ensure all customer commitments are met regarding service delivery.
  • Request and generate purchase orders for materials and subcontractors.
  • Enter time accurately and efficiently.
  • Coordinate with the Warehouse Shipper & Receiver to ship materials to customers.
  • Monitor key performance indicators surrounding service and inspection performance.
  • Intake service calls and review, schedule, and follow up on all service and inspection jobs until completion.
  • Order materials required for service, both scheduled and emergency.
  • Organize and distribute inspection reports and certificates as required.

How You Will Achieve Success:

Utilize the automated scheduler functionality in Oracle (ACE) to assign service calls to the optimal technician based on skills, territories, customer-preferred technician, availability, service contract response time, criticality of the call, and proximity to the customer.

Communicate and resolve issues with customers and personnel regarding the scheduling of service repair work. Alert management of potential problems resulting from customer or field complaints and work to resolve them.

Measure branch activity and compliance with program initiatives, identify areas for improvement, and develop and implement action plans with branch/region management. Monitor effectiveness and take corrective actions as required.

Demonstrate the ability to prioritize scheduling backorders in addition to tracking and resolving customer issues. Reassign work as needed to manage customers' expectations, making judgments based on current workloads and priorities.

Monitor technician activity and schedules to ensure customer commitments are met, and clearly communicate status changes back to the customer regarding early or late anticipated arrivals.

What We Look for:

  • 3-5 years of customer service experience.
  • Excellent communication skills.
  • Prominent level of organization.
  • Fleet scheduler or service coordinator experience.
  • Strong Excel skills.

Preferred Qualifications:

  • Associate or Bachelor's degree.
  • Experience working in a SimplexGrinnell District or in a fast-paced work environment.
  • Use of ACE/Oracle systems.
  • Product knowledge of life safety (fire alarm & sprinkler) equipment.
