Job Description

We are seeking an experienced Administrative Assistant to join our team as a Roofing Operations Coordinator. This role will be responsible for coordinating various aspects of our roofing operations, ensuring seamless communication among team members and stakeholders.

Responsibilities
  1. Arrange and Coordinate Seminars: Plan and execute seminars, conferences, and other events related to roofing operations, including logistics and arrangements.
  2. Staff Consultation and Grievance Procedures: Assist with staff consultation and grievance procedures, providing support to senior management and HR consultants.
  3. Coordinate Team Communication: Establish and maintain effective communication channels within the team, ensuring timely exchange of information and updates.
  4. Mail and Materials Distribution: Open and distribute mail and other materials, maintaining a well-organized workspace.
  5. Daily Operations Planning: Plan and coordinate daily operations, prioritizing tasks and managing workload efficiently.
  6. Meeting Minutes and Records: Record and prepare minutes of meetings, seminars, and conferences, maintaining accurate records.
  7. Office Procedures and Routines: Develop and implement office procedures and routines, ensuring smooth day-to-day operations.
  8. Scheduling Appointments: Schedule and confirm appointments, meetings, and events, maintaining a calendar and contact list.
  9. Training and Development Strategies: Manage training and development strategies, identifying areas for improvement and implementing relevant initiatives.
  10. Telephone and Electronic Enquiries: Answer telephone calls and electronic enquiries, responding to queries and resolving issues promptly.
  11. Data Compilation and Analysis: Compile data, statistics, and other information, analyzing trends and patterns to inform decision-making.
  12. Senior Management Support: Provide support to senior management, assisting with projects and initiatives as required.
  13. Employee Support and Complaints: Respond to employee questions and complaints, addressing concerns and resolving issues fairly and professionally.
  14. Office Supplies and Inventory Management: Order office supplies and maintain inventory, ensuring a well-stocked workspace.
  15. Liaison with Management and HR: Liaise with management, union officials, and HR consultants, maintaining open communication and collaboration.
  16. Travel Arrangements: Arrange travel, itineraries, and reservations, ensuring efficient and cost-effective use of resources.
  17. Customer Service and Greeting: Greet people, direct them to contacts or service areas, and provide customer service as needed.
  18. Information Filing Systems: Set up and maintain manual and computerized information filing systems, ensuring accurate and secure storage.
  19. Correspondence and Document Preparation: Type and proofread correspondence, forms, and other documents, ensuring error-free and professional content.
  20. Research and Data Entry: Conduct research, compile data, and perform data entry, supporting business decisions and operations.
  21. Customer Service and Marketing: Work with the marketing department to understand and communicate marketing messages to the field, providing customer service and support.
  22. Digital Database Management: Maintain and manage digital databases, ensuring accurate and up-to-date information.
  23. Basic Bookkeeping Tasks: Perform basic bookkeeping tasks, such as invoicing and expense tracking, under the guidance of senior management.
  24. Client Support: Consult with clients after sale to provide ongoing support, ensuring satisfaction and loyalty.
Required Skills and Qualifications
  • College/CEGEP diploma or equivalent education
  • 2 years to less than 3 years of experience in administrative roles
  • Excellent communication, organizational, and interpersonal skills
  • Proficiency in Microsoft Office and Google Suite
  • Ability to work independently and as part of a team
  • Familiarity with CRM software and database management
