The Opportunity

Mawer Investment Management is seeking a highly skilled and detail-oriented Receptionist to join our team. As the first point of contact for office visitors, this role requires exceptional customer service skills and the ability to work effectively in a fast-paced environment.

Key Responsibilities

  • Provide general reception duties, including answering phones, checking for faxes, and greeting employees and visitors.
  • Enter and track building maintenance requests, ensuring timely completion and follow-up.
  • Ensure all floor plans are up-to-date and accurate, reflecting changes and updates.
  • Assist with booking meeting rooms and coordinating logistics for events and meetings.
  • Coordinate the setup and catering for Board Meetings, ensuring a seamless experience for attendees.
  • Support with expense reports, maintaining accurate records and ensuring timely submission.
  • Manage access cards for employees and visitors, reconciling passes and ensuring secure access.
  • Maintain the reception manual, ensuring it remains up-to-date and accessible to all employees.

Desired Qualifications

  • 5+ years of experience in a Reception or Office Professional role.
  • Excellent verbal and written communication skills, with a keen eye for detail and spelling, grammar, and proofreading accuracy.
  • Proficiency in Microsoft Office Suite, specifically Excel and Word, with experience in Microsoft Office Teams an asset.
  • Proven ability to perform administrative duties with professionalism, accuracy, and a keen eye to detail.
  • Proven time management, prioritization, and organizational skills, with the ability to work independently and accomplish goals within agreed-upon deadlines.
  • Service-focused with an approachable disposition, calm and positive under pressure, and professional in all interactions.
  • Demonstrates flexibility and a positive, 'can-do' attitude, with a willingness to step in and help wherever needed.
  • Superior respect for confidentiality and confidential matters, with a commitment to continuous improvement and proactive identification of opportunities.
  • Ability to adapt to changing priorities and work schedules as required.
