Job Summary

The Administrative Support Professional provides high-level administrative support to the Manager, Facilities Maintenance & Operations (FMO), ensuring the smooth operation of the department. Key responsibilities include scheduling appointments, preparing and submitting invoices, and maintaining accurate records.

Main Responsibilities
  • Schedule appointments and meetings for the Manager, FMO, by determining urgency and confirming bookings.
  • Process incoming work and project requisitions using the computerized Maintenance Management System, prioritizing requests and maintaining records.
  • Maintain FMO projects by tracking resources, updating records, and preparing reports.
  • Prepare and submit invoices to Financial Planning and user departments on project completion.
  • Provide reception duties, answering calls, taking messages, and forwarding queries to relevant personnel.
Requirements
  • Grade 12, graduation from a recognized secretarial program, plus three years' recent related experience, or an equivalent combination of education, training, and experience.
  • Ability to type at 60 w.p.m.
  • Effective communication and organizational skills.
  • Ability to operate related equipment.
