International Office Specialist

Job Summary:

The International Office Specialist position is a key role within our Import office, working closely with the International Management Team. As a successful candidate, you will be responsible for motivating employees and meeting deadlines by directing them to effectively meet department goals and objectives.

Key Responsibilities:

  • Flexibility with start and finish times is essential
  • Strong sense of urgency and effective time management skills
  • Deep understanding of international methods and procedures
  • Training existing employees and new hires on various aspects of the job
  • Documenting training provided and observed in employee training packets
  • Re-certifying existing employees on methods, SWM, and other relevant areas
  • Participating in goal setting for administrative employee performance appraisal reviews
  • Providing employees with constructive feedback on work standards and performance
  • Collaborating with customer counter employees on coaching and assisting with escalated customer concerns
  • Maintaining employee records, including profiles and attendance
  • Planning and coordinating employee work schedules and vacation
  • Assisting with projects and tasks assigned by Supervisor/Manager
  • Verifying and authorizing employee time cards
  • Supply ordering and invoice processing

Requirements:

  • Fully bilingual
  • Strong communication and people skills
  • Good knowledge of UPS internal systems (ETT, OPSYS, ISPSYS, etc.)
  • Troubleshooting capabilities
  • Ability to make quick decisions
  • MS Office (Excel, Word, Internet Explorer) skills

Preferred Qualifications:

  • Strong international knowledge with regards to processes
  • Post-secondary degree
