Job Title: Legal Assistant

We are seeking a highly organized and detail-oriented Legal Assistant to join our team at YWI Alliance. As a Legal Assistant, you will provide administrative support to our legal team, ensuring the smooth operation of our office.

Key Responsibilities:
  • Schedule and Confirm Appointments: Schedule and confirm appointments with clients, witnesses, and other stakeholders.
  • Maintain Filing System: Maintain accurate and up-to-date filing systems, both physical and digital.
  • Record and Prepare Minutes: Record and prepare minutes of court sessions, meetings, and conferences.
  • Establish Office Procedures: Determine and establish office procedures and routines to ensure efficient workflow.
  • Arrange Travel and Itineraries: Arrange travel, related itineraries, and make reservations as needed.
  • Prepare Correspondence and Documents: Prepare and key in correspondence and legal documents, ensuring accuracy and attention to detail.
  • Review and Proofread Documents: Review and proofread documents and correspondence to ensure compliance with legal procedures and grammatical usage.
Requirements:
  • Education: College/CEGEP diploma or equivalent.
  • Experience: 2 years to less than 3 years of experience in a legal or administrative role.
  • Computer and Technology Knowledge: Proficient in MS Word, MS Excel, MS PowerPoint, and MS Windows.
  • Area of Work Experience: Contracts, Correspondence, Invoices, Reports and Records.
  • Security and Safety: Criminal record check required.
  • Work Conditions and Physical Capabilities: Fast-paced environment, work under pressure, tight deadlines, attention to detail, and large caseload.
  • Personal Suitability: Accurate, client-focused, dependable, efficient interpersonal skills, excellent oral and written communication, organized, reliability, and team player.
Support for Newcomers and Refugees:
  • Assist with immediate settlement needs of newcomers and/or refugees.
  • Support newcomers and/or refugees with foreign credential recognition.
Support for Indigenous People:
  • Provide cultural competency training and/or awareness training to all employees.
Support for Visible Minorities:
  • Apply hiring policies that discourage discrimination against members of visible minorities.
  • Provide diversity and cross-cultural training to create a welcoming work environment.
