About the Role:
The Supervisor, Counselling Operations is a key member of the Counselling Services team at Langara College. This role oversees the administrative operations of the department, supervising Assistants and supporting the Counselling team in providing high-quality services to students.
Key Responsibilities:
- Supervise and manage the day-to-day tasks of Assistants, ensuring efficient and effective delivery of services.
- Support the Counselling team in developing and implementing front-line procedures, policies, and protocols.
- Oversee the maintenance of a safe, inclusive, and welcoming student-facing working environment, in consultation with the Department Chair.
- Perform all duties according to work performance standards set by the College.
Qualifications and Requirements:
- Two-year Diploma or Associate Degree in a related discipline such as social work, psychology, counseling, business administration, etc.
- Six (6) years' recent relevant experience, including:
- Providing support services to individuals
- Office administration/office management
- Overseeing operations and implementing processes
- At least two years' supervisory experience, overseeing two or more employees
- An equivalent combination of education and experience may be considered
- Experience managing confidential student files
- Experience working with clinical scheduling software, such as Titanium, an asset
- Experience serving individuals presenting with mental or physical distress
- Knowledge of and/or training in mental health policies and guidelines, mental health/suicide first aid, etc. an asset
Skills and Abilities:
- Effective oral and written communication skills in English
- Ability to supervise, plan, schedule, train, and evaluate the work of employees
- Ability to communicate effectively with community members in a diverse and multicultural environment
- Effective listening and interpersonal skills, including strong cultural awareness and respect for cultural differences
- Demonstrated ability to compose correspondence, generate materials and documents
- Excellent problem-solving, organizational, and multi-tasking skills, with ability to set priorities and act
- Ability to implement and operationalize a counselling services triage process
- Ability to maintain confidential information in a responsible manner
- Ability to act pro-actively and with self-initiative in a team environment
- Ability to work in a leadership role and as a member of the team
- Demonstrated supervisory skills
- Willingness to respect diverse perspectives, including perspectives in conflict with one's own
- Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion
- Demonstrated excellent ability to use mature judgment, diplomacy, tact, and discretion, particularly in stressful situations
- Ability to work with frequent interruptions
- Familiarity with Microsoft 365 and demonstrated ability to use and produce spreadsheets using Microsoft Excel
- Ability to update website content
- Keyboarding skills of 45 wpm
Working Hours and Days: Monday to Friday, 8:30am to 4:30pm
