Aplin is seeking a highly organized and detail-oriented Executive Support Specialist to join our team.

Job Summary

We are looking for an administrative professional with exceptional organizational skills and the ability to multitask. The successful candidate will provide support to our management team, ensuring seamless day-to-day operations.

Responsibilities

  • Manage contracts and agreements, maintaining accurate records and files
  • Provide exceptional customer service, answering telephone calls and relay messages in a timely manner
  • Compile data and statistics, creating reports and presentations as needed
  • Oversee the preparation of documents, including correspondence and forms
  • Respond to employee inquiries and concerns, providing guidance and support
  • Order office supplies and maintain inventory levels
  • Arrange travel itineraries and make reservations
  • Greet visitors and direct them to relevant contacts or service areas
  • Maintain manual and computerized filing systems
  • Type and proofread documents, ensuring accuracy and attention to detail
  • Perform data entry tasks
  • Provide administrative support to the management team

Requirements

  • 2 years of experience in an administrative role, preferably in a similar industry
  • Exceptional organizational and time management skills
  • Ability to multitask and prioritize tasks effectively
  • Proficient in MS Office, with strong typing skills
  • Familiarity with database software and electronic schedulers
  • Strong communication and interpersonal skills
