About the Role:

Norton Rose Fulbright is seeking an experienced Office Services Team Lead to join our Calgary office. This is a hands-on role that requires strong organizational and communication skills, as well as the ability to work effectively in a team environment.

Key Responsibilities:

  • Coordinate the workflow for business centre, reception, and catering staff members, including scheduling breaks and coverage for team members as necessary.
  • Ensure team members are appropriately cross-trained and assist with the training and mentorship of new support staff.
  • Serve as the office point-of-contact for building maintenance and workplace-related requests.
  • Assist with office service functions such as copying, faxing, processing mail, courier, catering, reception, basic AV, furniture rearrangements, and minor facility-related requests.
  • Oversee the maintenance of office supplies for the location, including placing orders and coordinating replenishment.
  • Assist with the reconciliation of invoices for office services and facilities.
  • Ensure that all production equipment and multi-function devices are working at optimal performance and serviced/stocked as necessary.
  • Responsible for the quality control of documents produced by the business centre and ensure on-time completion of all requests.
  • Oversee boardroom set-ups, including furniture rearrangements and equipment requirements.
  • Work with the manager of office services and facilities to maintain the facility, including access cards, maintenance, general upkeep, and coordinating contractors.
  • Serve as a member of the Joint Health and Safety Committee and as an emergency coordinator.
  • Assist with office tours for new hires, including providing an overview of emergency evacuation and first aid procedures.
  • Assist with the coordination of lounge events, including furniture rearrangements and equipment requirements.
  • Assist with the coordination of office moves/clean-ups, including attention to ergonomic considerations.
  • Serve as a point person when the office services and facilities manager is away.
  • Ensure maintenance of service level agreements.
  • Prepare and present information and recommendations concerning operational effectiveness to local and national management.

Requirements:

  • Minimum + years of experience in a similar role, preferably in a law firm or professional services firm.
  • Proven experience in managing or leading a team.
  • Level first aid certification or willingness to attend training.
  • Excellent client-service skills, with well-honed verbal and written communication and interpersonal skills.
  • Proficient in Microsoft Office products, including Word, Excel, Project, and PowerPoint.
  • Ability to manage conflicting demands, diffuse issues, and influence colleagues toward effective solutions.
  • Organized, with the ability to manage multiple priorities and strong analytical and problem-solving skills.
  • Highly motivated, with the ability to work well under pressure.
