Event Coordinator

We're seeking an experienced Event Coordinator to join our team at Home Hardware Stores Limited. As an Event Coordinator, you will play a critical role in planning and executing various events, including conferences, meetings, and homecoming events.
Key Responsibilities:- Support the Event Specialist with the planning and execution of major conferences and events.
- Liaise with internal and external vendors to prepare quotes, RFPs, financial estimates, BEOs, and floor plans for assigned events.
- Maintain registration pages for assigned events, including registering dealers and suppliers, pulling attendee reports, and gathering post-event data for analysis.
- Process approved invoices for payment via DocuSign and maintain financial documents, including estimates, invoices, and supporting documents.
- Act as the onsite contact for assigned events, coordinating deliveries, vendors, event setup, venue management, signage, and event volunteers.
- Take and send working group meeting minutes for assigned events.
- Support occasional team/staff events.
- Completion of a post-secondary education in Event or Hospitality Management, with three to five years of event planning experience.
- Experience with planning events independently, including golf tournaments, annual general meetings, galas/award shows, etc.
- Superior communication skills, both written and verbal, with the ability to adjust communication style to various levels of stakeholders.
- Proficiency with Microsoft Word, PPT, and Excel.
- Ability to manage multiple events and shifting priorities, with strong time management skills.
- Strong ability to work as part of a team and independently, with great interpersonal skills.
- Bilingual (French) is an asset.
- Experience with Adobe Illustrator, Canva, or graphics creation is an asset.
- Ability to work with interruptions and with minimal supervision.
- Ability to work flexible hours, including evenings, weekends, and holidays, as required.
