About the Role:
We are seeking an experienced Executive Assistant to join our Legal Affairs team at Pharmascience. As an Executive Assistant, you will provide administrative support to the Vice President of Legal Affairs and the Legal Affairs team, ensuring the efficient operation of day-to-day activities.
Key Responsibilities:
- Manage correspondence and schedules for the VP Legal Affairs and direct reports
- Coordinate appointments, meetings, and business trips, including travel arrangements
- Organize Legal Affairs team meetings, prepare agendas, and maintain minutes
- Order supplies and maintain efficient filing systems
- Assist with departmental budgets, including billing procedures
- Draft and edit letters, presentations, and reports
- Maintain mailing lists and liaise with customers, suppliers, and law firms
- Implement and maintain corporate IT systems and procedures
- Generate management reports and ensure the Legal and Compliance Intranet site is current
- Provide administrative support to Legal Team members, including license renewals and professional membership
- Prepare expense reports and establish working relationships with company executives and business partners
Requirements:
- Minimum 10 years of experience in an Executive Assistant role or equivalent position
- Strong communication skills, written and spoken, in French and English
- Focus on excellence, attention to detail, and ability to anticipate needs
- Ability to manage multiple projects, identify and resolve problems, and work independently
- Resourcefulness, tact, and discretion, with the ability to work well in a team environment
- Good judgment, time management skills, and ability to set priorities
- Excellent interpersonal and organizational skills
