About the Opportunity

We are seeking an experienced Estimating Coordinator to join our team at Prodigy Group. As an Estimating Coordinator, you will play a crucial role in supporting our project bids and tenders, utilizing your industry-based experience to provide unique and strategic insight into competitive bidding, detailed creation and review of budgets/estimates/quotes/bids.

Key Responsibilities:

  • Support the estimating team in efficiently and effectively working with specialty subcontractors, suppliers, and user groups to maintain effective relationships that reflect and support Prodigy Group's core values.
  • Research historical tendering and award data, compiling information requested in an organized and clear format for team reference and use towards strategizing bid/tender opportunities.
  • Research data on construction industry labor and material cost trends.
  • Maintain and constantly update Tender/Supplier lists according to varying project and company requirements by sourcing and qualifying new subcontractors and suppliers, reviewing and communicating with Prodigy Group team at initial project tender invite and at project completion to determine strengths and weakness of each subcontractor/supplier, and organizing and updating the list to ensure each subcontractor/suppliers' details are noted for future reference.
  • Provide preliminary search efforts and alert the Chief Estimator/Director, Pre-Construction of bid opportunities from public/private tender sites/forums.
  • Download and distribute bid/RFP invitations.
  • Assist in the bid/proposal process, ensuring that new project documents are downloaded/uploaded and distributed per Estimating Team direction, subcontractors/Suppliers are called and bid intent throughout the duration of the bid process is tracked, draft and distribute Requests for Information, calendar Invitations are sent/updated as required for project related deliverables, and assists the Estimating Team with quantity take-offs as it relates to the bid/estimating process.
  • Draft Meeting Minutes for internal Estimating Team meetings.
  • Assist with preparing estimate/bid documentation including but not limited to: Project specific tender bidder's list noting pre-qualified and/or appropriate subcontractors and suppliers, drafting and sending Invitation to Bid to subcontractors and suppliers, attaching Supplemental Conditions and/or Appendices, completing and reviewing all quantity take-offs, drafting Drawing and document logs, and drafting and sending Letters of Regret.
  • Provide various administrative support such as but not limited to: photocopying, printing, Boardroom set-up and clean-up for meetings, binding, courier, assembling packaging documents and other project elements, assisting Office Manager with office supply inventory and replenishment, and other office/project administrative tasks as requested.

Requirements:

  • Diploma of Collegial Studies or equivalent.
  • General experience using MS Office Suite, On-Screen Take Off, Bluebeam/Adobe, MS Project, Procore, and other related estimating software.
  • Local experience in estimating as general contractor and/or construction manager is an asset.
  • Possesses very strong organizational and time management skills.
  • Demonstrates a high degree of resourcefulness, flexibility, and adaptability.
  • Demonstrates an ability to work in and support a strong team concept and be highly self-motivated and directed.
  • Demonstrates an ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Possesses exceptionally strong, professional, positive, effective, clear written and verbal communication skills.
  • Possesses a general knowledge and demonstrates a basic understanding of construction documents, construction science, sequence of work, construction contracts, construction law, construction health & safety, Ministry of Labor, Health Department, requirements, and Ontario and other regional/provincial building codes.
