Job Description

Role Overview

We are seeking a detail-oriented and organized Wealth Management Associate to join our team at Wellington-Altus Private Wealth. As a key member of our team, you will play a critical role in supporting our portfolio managers and ensuring the seamless execution of day-to-day operations.

Key Responsibilities

  • Data Management: Accurately handle and manage financial data in multiple systems, ensuring precision in all tasks.
  • Client Account Activities: Efficiently process a variety of client account activities, including converting RRSP to RRIF accounts, setting up RRIF payments, estates, beneficiary updates, transferring securities, issuing cheques, deposits, contributions, and withdrawals.
  • Spreadsheet Creation: Develop and maintain detailed spreadsheets for financial analysis, reporting, and client presentations.
  • Confidentiality: Safeguard all client information with the highest level of confidentiality and integrity.
  • Administrative Support: Provide comprehensive administrative support to the team, ensuring all tasks are completed on time and to the highest standard.
  • Team Collaboration: Work closely with portfolio managers and other team members, contributing to a positive and collaborative work environment.
  • Client Service: Assist in delivering exceptional service to clients, addressing their needs with professionalism and care.

Additional Responsibilities

  • Rigorous Follow-up: Commit to following up on all client transactions to ensure proper processing and minimization of errors.
  • Order and Trade Execution: Support portfolio managers by executing orders and managing transfers efficiently and in compliance with regulations.
  • Life Insurance Applications: Assist the Advisor and Wealth Planner with life insurance applications and annual payment administration.
  • General Resource: Act as a general resource person for clients, providing timely and accurate tax reporting and supplementary reports.
  • Liaison: Serve as a liaison between the client and their professional accountants, providing timely and accurate tax reporting and supplementary reports.
  • Compliance: Have a strong understanding of the firm's procedures and policies, understanding compliance and keeping within industry standards.
  • Client Files: Maintain client files, ensuring that all documentation and notes are compliant with industry regulations.
  • Administrative Tasks: Perform general administrative tasks, such as preparing letters and client communication pieces.
  • Client Events: Attend client events.

Qualifications

  • Previous Experience: Previous experience in a wealth management or financial services environment is preferred.
  • Strong Proficiency: Strong proficiency in Microsoft Excel and financial software.
  • Excellent Organizational Skills: Excellent organizational, time management, and multitasking abilities.
  • High Degree of Professionalism: A high degree of professionalism, service mindset, and respect for confidentiality.
  • Exceptional Communication Skills: Exceptional written and verbal communication skills.
  • Relevant Education: A degree or diploma in business administration, accounting, finance, or related field; or equivalent combination of education and work experience.
  • Industry Experience: 3-8 years' financial services industry experience working in a high growth environment.
  • Customer Service Experience: 3+ years' experience in a customer/client-service facing role.
  • Regulated Industry Experience: Experience in the wealth management or other regulated industry is a strong asset.
  • CIRO Licensing: CIRO licensing requirements, including completion of the Canadian Securities Course (CSC) and the Conduct and Practices Handbook Course (CPH) as well as active registration as an Investment Representative (IR) or Registered Representative (RR) with Canadian Investment Regulatory Organization (CIRO) is a strong asset.
