Your Opportunity at Secure Energy
The Project Coordinator plays a vital role in supporting our project managers and teams. As a key member of our operations team, you'll be responsible for gathering, distributing, and organizing information related to estimating, project setup, proposal submissions, reporting, safety, profitability, and costing.
A Day in The Life
Safety
- Adhere to all Secure safety policies and procedures
- Coordinate and communicate effectively with the Safety Department
- Aid in project documentation filing and preparation
- Participate, arrange, lead, and be engaged in Safety meetings
Estimating and Bidding
- Assist in the preparation of parametric estimates in Hard Dollar and observe, review the bidding process by:
- Reading tender/contract documents to achieve knowledge of scope of work and specifications
- Conducting take-offs from drawings/blueprints incorporating into Hard Dollar
- Work with Procurement to obtain 3rd party quotes as required and incorporating them into Hard Dollar as required
- Work with internal groups such as Legal, Credit, Finance & EHS to ensure Projects are bid and setup in accordance to Secure's policies and procedures.
Scheduling and Planning
- Observe, assist, and seek understanding in scheduling and planning activities
- Perform critical administrative functions including the documentation of daily site activities, creation of the start-up sheet, and supervisor's folders making use of Microsoft Project.
- Make regular site visits to better understand the scope of work, if not already stationed on site.
- Site supervise and work with onsite personnel as required.
Reporting and Cost Tracking
- Assist with the administration of Fieldsafe & Kronos for project cost & employee tracking
- Assist with daily reviewing and entry of the daily time sheets in Field Safe
- Assist with the daily, weekly, and monthly labour, equipment, material, and sub-trade costs and reviews through Fieldsafe with the Project Manager on a regular basis
- Assist with preparing progress invoicing and progress status reports
- Assist with administrative project closures tasks at the end of the project
- Prepare and maintain onsite project tracking binders
- Complete project set-up from information provided by the Project Manager and team, ensuring all project attributes and variables have been properly input into internal computer programs in accordance with the contract requirements
- Daily entry of project costing & tracking including labour hours, equipment hours, and third-party costs
- Assist project team with entering project visa expenses, scanning receipts, and ensuring each expense entry maps correctly to the project cost module for cost tracking
- Complete project uploaders, ensuring costs are receded
Risk:
- Assist in the identification of risk based on contracts as well as site-specific conditions
- Assist with the preparation, communication of risk mitigation strategies
- Assist in risk identification of 3rd party contractors utilizing ISNetworld
Skills, Experience, & Qualifications
The successful candidate will have the following attributes:
- Recent college diploma or degree, preferably in an Environmental program or Engineering
- 0-2 years discipline-related experience
- Strong computer skills with proficiency working with Microsoft Office suite
- Lead by example and commit to positively lead and influence the Secure Safety Culture
- Ability to work with multiple Project Managers/Coordinators on multiple contracts simultaneously
- Thrive for the challenge of a multi-discipline environment that changes quickly and requires accurate attention to details and solid commitment to follow through on tasks without direction
