Job Description

As an Operations Coordinator Assistant at Global Scales and Systems Inc., you will play a vital role in supporting the company's daily operations.

Key Responsibilities:
  • Arrange and coordinate seminars, conferences, and other events to facilitate knowledge sharing and networking opportunities.
  • Train junior staff members on various tasks and responsibilities to ensure seamless workflow.
  • Record and prepare minutes of meetings, seminars, and conferences to keep stakeholders informed.
  • Schedule and confirm appointments with clients, vendors, and internal teams to maintain efficient communication.
  • Handle incoming phone calls, respond to electronic inquiries, and relay messages to relevant personnel.
  • Order office supplies and manage inventory levels to ensure a well-stocked workspace.
  • Provide exceptional customer service by greeting visitors, directing them to contacts or service areas, and addressing their concerns.
  • Type and proofread correspondence, forms, and other documents to ensure accuracy and professionalism.
  • Plan, organize, direct, control, and evaluate daily operations to optimize productivity and efficiency.
Requirements:
  • A high school diploma or equivalent is required for this position.
  • At least 7 months of experience in a related field, preferably in an administrative or support role.
  • Fluency in English is necessary for effective communication with clients, vendors, and colleagues.
  • Apart from regular working hours, you may be required to work additional hours to meet deadlines or handle urgent tasks.
