Key Responsibilities
  • Coordinating Events: Arrange and coordinate seminars, conferences, and other events to support our business objectives.
  • Supervising and Training: Supervise and train other team members to ensure they have the necessary skills and knowledge to perform their duties effectively.
  • Record Keeping: Record and prepare minutes of meetings, seminars, and conferences to ensure accurate documentation.
  • Office Procedures: Determine and establish office procedures and routines to ensure efficient and effective operations.
  • Scheduling and Communication: Schedule and confirm appointments, answer telephone calls and relay messages, and respond to electronic enquiries in a timely and professional manner.
  • Data Management: Compile data, statistics, and other information to support business decisions.
  • Supply Management: Order office supplies and maintain inventory to ensure a well-stocked and organized office.
  • Customer Service: Greet clients and direct them to the appropriate contacts or service areas, providing exceptional customer service at all times.
  • Information Management: Set up and maintain manual and computerized information filing systems to ensure accurate and efficient access to information.
  • Correspondence: Type and proofread correspondence, forms, and other documents to ensure accuracy and professionalism.
Requirements
  • Education: College/CEGEP diploma or equivalent.
  • Experience: 1 to less than 7 months of experience in an administrative role.
  • Language: Fluency in English.
  • Work Environment: Fast-paced environment with tight deadlines and a focus on attention to detail.
  • Personal Qualities: Ability to multitask, flexibility, organization, teamwork, accuracy, client focus, and reliability.
