We are seeking a highly skilled and experienced Portfolio Administrator to join our team at Scotiabank. As a Portfolio Administrator, you will play a critical role in supporting our Relationship Managers in the management of client portfolios, providing exceptional client service, and driving business development activities.
Key Responsibilities- Client Service
- Develop and maintain a strong understanding of our value proposition and deliver exceptional client experiences through all interactions.
- Act as the primary point of contact for clients, responding to inquiries in a timely and professional manner.
- Escalate issues to Relationship Managers and Governance & Operations Manager as necessary.
- Prepare routine client correspondence and customized reporting.
- Support the implementation of client wealth strategies through accurate management of portfolio administration tasks.
- Coordinate and manage the end-to-end client onboarding process.
- Maintain accurate client information and files.
- Review processes and provide recommendations to improve the client experience.
- Support Relationship Managers
- Prepare and customize client reports.
- Work with Trust Officers to ensure investment strategies are applied appropriately.
- Support Relationship Managers in executing business planning activities and events.
- Provide Portfolio Administration support functions for Estate & Trust portfolios.
- Ensure a comprehensive understanding of each client's financial needs and objectives.
- Business Development
- Coordinate prospecting and business development activities on behalf of Relationship Managers.
- Support the execution of marketing strategies to attract and retain clients.
- Coordinate interactions between clients and Relationship Managers.
- Liaise with internal referral sources to ensure timely communication and response.
- Risk Management/Compliance
- Maintain awareness and ensure compliance with all procedures, regulatory activities, and guidelines.
- Support Relationship Managers in maintaining client portfolios in accordance with established firm strategy.
- Participate in compliance activities and identify actions to remediate non-compliance.
- Team Membership
- Contribute to the effective functioning of the Private Investment Counsel team.
- Foster a strong, positive team environment and drive employee empowerment.
- Build effective working relationships across the team and with stakeholders.
- University Degree (Business, Economics, Accounting, Finance), College Diploma or equivalent.
- CSC, industry experience, and/or Investment management knowledge is an asset.
- Two years industry experience.
- Strong relationship management skills.
- Proficient in providing support to sales and business development activities.
- Strong interpersonal, communication, and listening skills.
- Results/Goal achievement oriented.
- Self-motivated and disciplined.
- Executes with Integrity.
