Conference Services Manager

About the Role:
We are seeking a highly organized and detail-oriented Conference Services Manager to join our team at The Westin Nova Scotian. As a Conference Services Manager, you will be responsible for coordinating and executing all aspects of meeting plans to ensure total client satisfaction.
Key Responsibilities:
- Coordinate and execute all aspects of meeting plans, including set up, meal functions, room reservations, group billing, and recreation arrangements.
- Act as a liaison between the client and the hotel to ensure the function goes off without a hitch.
- Prepare Event Orders for all functions, prepare group resumes, and work with all departments of the hotel involved in the execution of respective functions.
- Compile weekly and monthly updates of revenue forecasts on a group-by-group basis and revise as necessary.
- Know relevant policies, including menu and pricing, food handling, lost and found, cancellation, service charge, guarantee, payment, shipping/receiving, etc.
- Interface with clients to determine their group requirements and coordinate with other hotel departments and outside vendors to meet the group requirements.
- Prepare group resumes and food and beverage BEOs in accordance with client specifications.
- Ensure guest satisfaction from inception of the group until check-out.
- Coordinate special guest room amenities with the Executive Chef and Culinary team.
- Coordinate food requirements for meetings with the Executive Chef and Culinary team.
- Inspect all meeting rooms for cleanliness and proper setup; oversee banquet/convention set-up staff.
- Conduct pre-convention meetings prior to the group's arrival as needed.
- Conduct exit interviews with clients and pre/post-event surveys.
- Review charges with clients to ensure accurate billing.
Requirements:
- At least 2 years of previous experience in hotel catering or event management.
- Degree in hotel management preferred.
- Excellent customer service and communication skills required.
- Ability to work in a fast-paced environment required.
- Ability to work flexible hours with minimal notice required.
- Knowledge of Marriott's Sales & Catering CI/TY system considered an asset.
- Excellent computer skills required.
- Food and beverage knowledge preferred.
