Facilities Booking Coordinator & Administrative Assistant
About the Role
The Victoria Conservatory of Music is seeking a highly organized and detail-oriented individual to join our facilities team as a Facilities Booking Coordinator & Administrative Assistant. This is a 50/50 job share position, limited term, until at least August 31, 2024, and at latest June 30, 2025.
Key Responsibilities
- Coordinate all booking requests for rooms and resources, ensuring seamless communication with VCM staff, faculty, and students.
- Schedule, optimize, and book internal space usage, working closely with faculty and staff to meet their needs.
- Provide administrative support to the Chief Facilities Officer, managing room access, student lockers, lost and found, student practice rooms, and general office management.
- Recruit, train, and schedule volunteers to support VCM event activities.
Requirements
- Strong computer skills and experience with facility management software.
- Excellent communication and interpersonal skills.
- A background in facilities bookings, school administration, music schools, or office management is considered an asset.
- A friendly and helpful personality, with the ability to interact professionally with students, faculty, and staff.
