Administrative Support Specialist for Vaudreuil Organization

We are seeking a highly skilled Administrative Support Specialist to join our team in Vaudreuil. As a key member of our organization, you will provide exceptional customer service and administrative support to our clients.

Key Responsibilities
  • Welcome visitors, new employees, suppliers, guests, and candidates
  • Answer the telephone and screen calls
  • Be the first point of contact for all callers and direct them to the appropriate person or department
  • Receive and distribute mail
  • Manage conference room reservations
  • Control inventory and place orders for office supplies
  • Act as intermediary between Accounting and the Vice-President for invoice approval and signature
  • Collaborate in the billing process and manage petty cash
  • Provide quality control support for various projects
  • Support the sales team in the sampling process
  • Manage coffee machines and supplies
  • Manage uniforms in collaboration with our external supplier
  • Perform data entry for various departments
  • Participate in projects

This is a temporary position replacing a sick leave and has the possibility of extension.

Requirements
  • 1-3 years' experience in a similar position
  • Experience in human resources (an asset)
  • Customer-oriented and personable
  • Oral and written bilingualism required (French and English)
  • Excellent command of the Office 365 suite (Word, Excel, Teams, etc.)
  • Sense of professionalism and discretion

The ideal candidate will have excellent communication skills, be able to work independently, and possess a strong attention to detail.
